Content Operations & Workflow Design
Modernized Theatre Production Operations with StageWise
Overview
The theatre program relied on fragmented, manual processes. Information was scattered across email, text threads, PDFs, and verbal updates. Producers spent hours each week on scheduling, reminders, and troubleshooting. Directors and staff lacked a reliable system to coordinate tasks and share information. Producers had to chase down cast members for bios and costume measurements. These inefficiencies created stress, slowed production workflows, and made it difficult to onboard new producers.
I led an operational modernization effort for a children’s theatre program by evaluating existing producer workflows, identifying communication gaps, and implementing StageWise as a centralized digital platform. I transformed how directors, producers, cast families, and staff accessed information, managed schedules, and coordinated production tasks.
The Challenge
- Information was scattered across email, text threads, PDFs, and verbal updates
- Families repeatedly asked the same questions due to unclear or inconsistent communication
- Producers spent hours each week on scheduling, reminders, and troubleshooting
- Directors and staff lacked a reliable system to coordinate tasks and share information
- Producers had to chase down cast members for bios and costume measurements
These inefficiencies created stress, slowed production workflows, and made it difficult to onboard new producers.
Approach
I applied my strengths in content operations, organization, and user experience to redesign the entire communication ecosystem, partnering directly with the StageWise developer to refine features, structure content, and build scalable workflows that reduced administrative burden and improved clarity across the entire program.
01
Operational Assessment
Reviewed the producer handbook, mapped pain points, and documented where communication and workflow breakdowns occurred.
02
Platform Evaluation & Selection
Researched digital solutions and identified StageWise as the best fit for centralizing communication and reducing manual work.
03
Collaboration with the Developer
Partnered directly with StageWise’s creator to fix bugs, improve current capabilities, and enhance the app with new features based on real production needs.
04
Production Setup & Governance
Set up the specifics for the organization in the app, trained producers on using the app, and provided continual guidance to ensure smooth processes.
05
Onboarding & Documentation
Created a quick reference guide, training videos, and communications that helped staff adopt the new system smoothly.
Results
My work delivered measurable improvements across the program:
- Centralized Communication — Families had one reliable place to find schedules, updates, and show information, reducing repetitive questions
- Time Savings for Producers — Weekly administrative workload dropped significantly as scheduling, reminders, and updates became automated or streamlined
- Improved Accuracy & Professionalism — Directors and staff operated with a modern, polished system that reduced errors and improved coordination
- Scalable Workflows — The new structure supports large casts, multiple shows, and complex productions without additional overhead
- Higher Satisfaction Across Stakeholders — Directors, producers, and families embraced the system because it made their experience smoother, clearer, and more organized
